Getting started with email signatures
Email signatures add a sign-off to the emails you send from Cue. A Workspace Owner turns signatures on for the workspace and can set a default signature for the team, and each agent then creates their own version from that default. This page covers how to turn signatures on, how to create and edit your signature, and how signatures work when you send an email.
Turn on email signatures for your workspace
Email signatures are off by default. Once you turn them on, agents in your workspace can add a signature to the emails they send. You can also write a default signature, which agents start from when they create their own.
How to turn on email signatures
- Open app.cuedesk.com
- Navigate to Settings > Email signatures
- Turn on Allow agents to use email signatures
- Under Default signature template, write the signature you want your team to start from
- Click Save changes
Agents can now set up their own signature from the email composer. The default signature is a starting point only - each agent edits their own copy, and changes to the default do not update signatures agents have already saved.
Create your email signature
Your signature is set up from the email composer. If your workspace has a default signature, your signature starts as a copy of it, and you can change it to suit you.
How to create your signature
- Open an email conversation, or start a new email
- In the email composer, click the Signature icon
- Click Set up
- Edit the signature in the editor. If your workspace has a default signature, it will already be filled in
- Click Save
Your signature is now added to every email you send from Cue.
How to edit your signature
- In the email composer, click the Signature icon
- Click Edit from the drop down
- Make your changes
- Click Save
To start again from your workspace's default signature, click Reset to default before saving. This option only appears if your workspace has a default signature.
Format your signature and add images
Signatures support the same text formatting as the email composer, such as bold, italics and links. You can also add up to two images to your signature, for example a company logo and a badge.
How to add an image to your signature
- Open the signature editor, either from the Signature icon in the composer or, if you're a Workspace Owner, from Settings > Email signatures for the default signature
- Add your image in one of three ways: click the image button in the toolbar, drag the file into the editor, or paste it
- Drag the corners of the image to resize it
- Click Save
Large images are automatically scaled down to fit an email when you add them.
Signature images must meet these requirements:
- File type: PNG, JPEG or GIF
- File size: under 200 KB per image
- A maximum of two images per signature
Send an email with your signature
Once you have saved a signature, it is added to every email you send by default. You will see a small signature icon under the message body in the composer.
How to preview your signature
- In the email composer, click the Signature icon under your message > Show
- Your signature appears in place of the icon, showing how it will look in the email
- Click Hide to fold it away again
Hiding the preview does not remove the signature. The email will still be sent with your signature.
How to send an email without your signature
- In the email composer, click the Signature icon under your message
- Click Remove
Your signature is left off this email only, and will be added again to the next email you send. To put it back on the current email, click Add back.
How to see your signature as the customer sees it
Your signature does not appear in the conversation view in Cue, so the conversation stays easy to read. To see the full email as it was sent, including your signature:
- Select the 3 dot ellipses (...) on an email message
- Click View full email
Frequently asked questions
Why can't I see the Email signatures page in Settings?
The Email signatures settings page is only visible to users with the Workspace Owner role. Agents set up their own signature from the email composer instead.
Why can't I see the signature option in the email composer?
Email signatures need to be turned on for your workspace first. Ask a Workspace Owner to turn on Allow agents to use email signatures in Settings > Email signatures.
Are signatures added to emails sent by Flows, AI Agents or broadcasts?
No. Signatures are only added to emails that an agent sends from the composer.
Can I use placeholders like {first_name} in my signature?
No. Everything in a signature is sent exactly as written, including any text in curly brackets. Type your details directly into your signature.
If a Workspace Owner changes the default signature, will my signature change?
No. Once you save your signature, it is yours to edit. To pick up the new default, open Edit email signature, click Reset to default, then click Save.
Why was my image rejected?
A: Signature images must be PNG, JPEG or GIF, under 200 KB, and you can add a maximum of two per signature. The message shown when an image is rejected will tell you which requirement it did not meet.
